Buying a refurbished diesel generator is not the same as buying a new set from a catalog. The model name matters, but the condition file matters more. Two units can carry the same Cummins, Caterpillar or MTU nameplate and still be very different in hours, rebuild scope, alternator condition, controller status and export readiness.
For buyers in Africa, the Middle East and Asia, the risk usually appears before the machine arrives: incomplete photos, vague wording such as “good condition”, no load-test evidence, no clear frequency confirmation and no shipment proof. A better RFQ starts with a condition checklist that both sides can answer before price negotiation.

Start with the nameplate, not the sales description
The first check is basic, but it prevents many wrong quotations. Ask for a clear nameplate photo showing model, rated power, voltage, phase, frequency, serial information and year or production record where available. Do not rely only on a typed stock list.
Frequency is especially important for export buyers. A 50Hz site and a 60Hz site do not ask for the same generator configuration, and changing a unit after shipment can become expensive. The same applies to voltage, alternator connection, controller language, breaker arrangement and radiator package.
If the seller cannot provide a clear nameplate and a full set of current photos, the quote is not ready. It may still be a real unit, but the buyer does not yet have enough information to compare it against other options.
Separate used, repaired and refurbished
“Used” only means the generator has worked before. “Repaired” may mean one fault was fixed. “Refurbished” should mean the seller has checked the unit, corrected visible or functional issues, cleaned or replaced worn parts where necessary, and prepared the machine for resale or export.
For a buyer, the useful question is not whether the unit is described as refurbished. The useful question is what work was actually done. Ask for a short refurbishment scope:
- engine external inspection and leak check;
- oil, coolant and fuel system condition;
- radiator, fan belt, hose and clamp condition;
- alternator, wiring, grounding and terminal checks;
- controller, breaker, battery and starting system status;
- paint, base frame, silencer, canopy or open-type package condition;
- test run, load test or output-check evidence where available.
Manufacturer maintenance guidance points in the same direction. Cummins maintenance guidance advises owners to follow the operator manual, increase maintenance frequency in dusty or extreme environments, and keep a running-hour and service log. FG Wilson service guidance lists routine walk-around checks covering fastenings, belts, guards, filler caps, leaks, pipes, fluid levels, hoses, battery terminals and the control panel. Caterpillar preventive maintenance guidance also notes that environment and hours affect maintenance cycles and recommends at least monthly inspection for standby generator sets.
Ask for proof of running condition
Photos show appearance. They do not prove output. For a refurbished diesel generator, buyers should ask whether the unit can be started, whether a short running video is available and whether load-test or output-check information can be provided.
A useful video does not need heavy editing. It should show the unit, the controller screen, frequency, voltage and whether there are visible leaks, abnormal smoke or unstable running. If the buyer is evaluating a high-power unit for mining, telecom, hospital, factory or remote-site use, the inspection file should be more detailed.
A Cummins service manual describes a post-service output check by applying load progressively until full load is reached, using suitable load-test equipment. That is a maintenance procedure, not a promise that every used unit listed online has already completed the same test. But it explains why serious buyers should ask what test evidence exists before deposit or shipment.
For remote buyers, the best practice is to request a practical file, not a polished brochure: current photos, nameplate, controller image, short running video, known maintenance or rebuild notes, and the seller’s comments on any parts that still need buyer confirmation.
Check the engine side before the alternator side
Engine condition is where many cost surprises start. Ask for photos from both sides of the engine, the turbocharger area, fuel injection side, radiator end and underside where practical. Visible oil leaks, missing guards, damaged hoses, loose wiring, heavy corrosion or careless repair work should be discussed before price is fixed.
For common export models such as Cummins KTA38 and KTA50, Cummins QSK60, Caterpillar 3512 and MTU 4000 series, buyers should also ask whether the quoted unit is a complete generator set, engine-only unit or replacement engine package. These are different offers.
If the unit is being purchased for standby use, starting reliability and battery/control condition matter. If it is being purchased for prime or long-running use, cooling, filtration, fuel system condition and load behavior matter more. The buyer should state the intended duty clearly when requesting the quote.
Do not skip alternator, controller and breaker checks
A generator set is more than an engine. The alternator, controller, breaker and wiring decide whether the unit can be installed without immediate electrical work. Ask for photos of the alternator end, terminal box, breaker cabinet and control panel.
At minimum, the buyer should confirm:
- rated voltage, frequency and phase;
- controller model and screen condition;
- breaker size and whether it is included;
- wiring condition and visible terminal condition;
- whether the unit is open type, silent canopy or containerized;
- whether accessories such as silencer, radiator and base tank are included.
This is also where many quote misunderstandings happen. A low price may exclude breaker, canopy repair, additional accessories, repainting, packaging or inland transport to port. Asking the right technical questions early makes the CIF quote cleaner.
Match the condition file to the shipment file
For export buyers, inspection does not end when the unit is selected. Before shipment, ask how the seller will document loading and dispatch. Real export proof can include pre-loading photos, packaging photos, container or truck photos and final shipping documents.

The point is simple: the buyer should be able to connect the quoted unit, the inspected unit and the shipped unit. If the photo record is incomplete, every later dispute becomes harder.
What to send when requesting a refurbished generator quote
A strong RFQ saves time for both sides. Instead of asking only “what is the price”, send the information that lets the supplier match stock properly:
- required power range in kW or kVA;
- 50Hz or 60Hz requirement;
- voltage and phase;
- standby or prime duty;
- preferred brands or acceptable alternatives;
- destination port and country;
- quantity and expected delivery timing;
- application, such as mining, telecom, factory backup, hospital, commercial building or resale stock.
